Video meetings

Add a video meeting to an event as you create it, or later. Google Meet and Microsoft Teams meetings come from the calendar account the event is in, and Zoom meetings from a Zoom account you connect. The meeting is always yours, also when someone who helps with your calendar adds it.

Zoom is coming

Attaché’s Zoom app is waiting for Zoom’s approval. Until then you can add Google Meet and Microsoft Teams meetings; what this guide says about Zoom applies once it is approved.

Which service works where

What you can add depends on the account of the calendar the event is in. Video meetings work on the Free and Pro plans.

Calendar account Google Meet Microsoft Teams Zoom
Google (Gmail or Google Workspace) Yes¹ No Coming soon
Microsoft 365 (work or school) No Yes² Coming soon
Outlook.com, Hotmail and other personal Microsoft accounts No No³ Coming soon
Zoho Calendar No No Coming soon
Apple iCloud and other CalDAV servers No No Coming soon
Subscribed calendars (read-only) No No No
  1. Where the calendar allows Meet: a Google Workspace administrator can turn it off.
  2. Where the calendar allows Teams meetings, which your organization decides.
  3. Microsoft doesn’t let apps create Teams meetings for personal accounts.

Zoom works on any calendar you can change, once you connect a Zoom account. A Google Meet meeting on a Microsoft calendar, or a Teams meeting on a Google one, isn’t possible yet: use Zoom there.

Choose a default

Each calendar account has a default service, which a new event gets with one click. Unless you choose another, it is the account’s own: Google Meet for a Google account and Microsoft Teams for a Microsoft work or school account, where the calendar allows it; otherwise none.

To change it, open Settings → Connections → Video meetings and, under Default for new events, pick a service for each calendar account, or None. Only you, the owner of the calendars, can change these.

When you connect your first Zoom account, the calendar accounts that have no meeting service of their own, such as Zoho, iCloud or Outlook.com, switch to Zoom, and Attaché lists them, with Undo. If you connect more than one Zoom account, choose which one each calendar account uses: Zoom is offered only where you have picked one.

Add a meeting

  1. Step 1: Start an event

Choose New event, or open an event and choose Edit. Pick its calendar first: what you can add depends on that calendar’s account.

  2. Step 2: Add the meeting

Below Location, the meeting button names the calendar account’s default, such as Add Google Meet or Add Zoom meeting: choose it. Its menu (▾) offers the other services the calendar allows. With no default, the button reads Add video meeting. On iPhone, use the Video meeting row under Calendar.

    On screen

The meeting appears below Location, with a note saying in whose account it will be created.

  3. Step 3: Save

The meeting is created as the event is saved: Google creates a Meet meeting, Microsoft a Teams meeting, and Zoom meetings are created in the Zoom account chosen for that calendar. The event then shows a Join button. For a Zoom meeting, Attaché also adds the link, meeting ID and passcode to the event’s notes, and the link to its location if that is empty, so that your guests have them too.

A repeating event gets one meeting for the whole series. Add it to the series: a single occurrence can’t have a meeting of its own.

Change or remove a meeting

  • Open the event, choose Edit, and choose Remove on the meeting. A Zoom meeting that Attaché added is deleted in Zoom 24 hours later, so an undo in the meantime keeps its link. To switch services, remove the meeting and add another.
  • A Microsoft Teams meeting can’t be removed in Attaché: remove it in Outlook or Teams.
  • A meeting link you pasted yourself, or one that came with an invitation, stays as it is: Attaché shows its Join button but doesn’t manage the meeting.

When a delegate adds a meeting

  • Anyone who may create or change events in a calendar of yours may add a meeting to them, with the same button. The meeting is created with your account, and you are its host: in your Zoom account, or by Google or Microsoft through your calendar account. The event says Hosted by and your name.
  • Delegates never receive your Zoom sign-in or tokens, and Attaché never shows them your Zoom account’s email address or why it can’t be used.
  • If their changes to that calendar need your approval, the meeting is created only when you approve. The proposal says so (“Adds a Zoom meeting in your Zoom account”), and if you edit it before approving, you can untick Create the Zoom meeting.
  • Delegates who see only titles or free/busy time in that calendar don’t see the meeting’s link afterwards.
  • A Teams meeting can’t be removed afterwards, so Attaché says so before a delegate adds one.
  • Each delegate can add up to 25 Zoom meetings a day for you, and every meeting they add is in your activity log.

How meetings follow their events

  • Zoom meetings follow their event. When the event moves, Attaché moves the meeting in Zoom within a few minutes, wherever the change was made: in Attaché, in Google Calendar, in Outlook or in another app. When the event is renamed, so is the meeting. A meeting that is about to start keeps its time.
  • Deleting the event deletes its Zoom meeting 24 hours later. Undo the deletion before then and the event comes back with the same link; restore it later and it gets a new meeting, with a new link.
  • Google Meet and Microsoft Teams meetings belong to their event at Google and Microsoft, which keep them in step.
  • A repeating event has one recurring Zoom meeting for the whole series. Zoom retires a recurring meeting’s ID after 365 days without a meeting.

Notes of Teams meetings

Attaché shows the notes of a Microsoft Teams meeting but doesn’t change them: edit them in Outlook or Teams. Microsoft keeps the meeting’s join details in those notes, and a change made to them from another app can remove the meeting.

If it doesn’t work

No meeting button, or “Video meetings aren’t available on this calendar right now”

  • The calendar’s account has no service that works there (the table) and no Zoom account is chosen for it, or it is a subscribed calendar.
  • If you help someone with their calendar: you may not be allowed to change events in that calendar, or its owner hasn’t set a service up. Ask the owner.
  • If the owner’s Zoom account needs reconnecting, Zoom isn’t offered until the owner reconnects it in Settings → Connections → Video meetings.

Google Meet isn’t offered

The calendar doesn’t allow Meet: a Google Workspace administrator can turn it off for an organization. Ask the administrator, or use Zoom on that calendar.

Microsoft Teams isn’t offered

Personal Microsoft accounts, such as Outlook.com, can’t have Teams meetings from apps, and an organization can turn Teams meetings off for a calendar. If Microsoft couldn’t create a Teams meeting on a calendar that should allow it, Attaché tells you and stops offering Teams there for 30 days.

“The meeting couldn’t be added”

Attaché saved the event without the meeting and told you why. Zoom may have been unavailable for a few minutes, the Zoom account may need reconnecting, or a daily limit was reached: Zoom lets each host create or change 100 meetings a day, and Attaché keeps to 60 of them for each Zoom account. Open the event and choose Try again.

The event’s notes are too long

Zoho Calendar limits the length of an event’s notes, and a Zoom meeting’s details may not fit. Shorten the notes, then add the meeting again.
